# What Is DataFetch?

DataFetch is an app for [Slack](https://slack.com/apps/A01DT7Q5P3L-datafetch) and [Microsoft Teams](https://appsource.microsoft.com/en-AU/product/office/WA200003961) which enables users to save time, reduce distraction, and become more productive. Rather than having to go hunting for data in different silos in your organization, DataFetch users can make the data they want come to them.&#x20;

### Slack

Using the `/datafetch` or `/df` slash command, users can search multiple data sources at once, view details on specific results, and share those results with other users.

### Microsoft Teams

Using the the DataFetch Messaging Extension, users can search multiple data sources at once, view details on specific results, and share those results with other users.

# Adding DataFetch To A Slack Workspace

## Prerequisites

### Slack Workspace Permissions

You must have Admin access to the Slack Workspace in order to install DataFetch. If you do not have permission, you may submit a request to the workspace admins to install the app.

Slack Workspaces which are on the Free Plan are allowed a maximum of 10 apps. If your workspace has reached its maximum number of apps, one will need to be removed in order to install the DataFetch app.

## Installing The App

### Via The Web

2. Type **DataFetch** in the search box and click **Add**. You will be taken to the **Slack App** directory on your browser.
3. Click **Add to Slack**.&#x20;
4. Follow the prompts to install the app.&#x20;

### Via The Slack App

1. Go to <https://slack.com/apps>. Make sure that you are signed in to a Slack workspace.&#x20;
2. In the search box, type **DataFetch** and click on the result.&#x20;
3. Click **Add to Slack**. Follow the prompts to install the app.


# Adding A Data Source

How to make a new data source searchable from the /datafetch command.

### Prerequisites

The DataFetch app is installed in your Slack Workspace.

You have credentials with the necessary permissions to access the intended data sources.

### Step 1. Start the New Data Source Wizard

To start the process of adding a new Data Source, you have two options.

A. Click ***New Data Source*** on the home screen of the DataFetch Slack App.

B. Click ***New Data Source*** on the ***Data Sources*** page of the DataFetch web interface.

### Step 2. Select the Data Source Type

Find the [Data Source Type](/additional-resources/glossary#data-source-type) you want to be able to search. Click the *Next* button.&#x20;

### Step 3. Provide Required Credentials

Provide the credentials necessary to connect to this [Data Source](/additional-resources/glossary#data-source). Each [Data Source Type](/additional-resources/glossary#data-source-type) has its own defined requirements for a connection. View the documentation for the Data Source Type in question for specific credential requirements.


# Slash Commands

For Slack users, the /datafetch slash command is the primary why you'll retrieve information from your data sources.

## Overview

When the DataFetch app is installed into a Slack Workspace, two new slash commands are made available for the Slack users.

* `/datafetch`
* `/df`

Both of these slash commands work exactly the same way and are completely interchangeable.

## How To Use The Slash Commands

#### /datafetch

Use the `/datafetch` slash command on its own to display the DataFetch search box.

#### /datafetch \[search terms]

Use the `/datafetch` slash command followed by a series of search terms to immediately search for objects that match those terms in your connected [Data Sources](/additional-resources/glossary#data-source).

#### /datafetch help

Use the `/datafetch` slash command followed by the word `help` to display a list of commands currently supported by DataFetch.&#x20;

The word will also be searched against your [Data Sources](/additional-resources/glossary#data-source). If a match is found, the results will be listed long with an option to display the commands list.

#### /datafetch feedback

Use the `/datafetch` slash command followed by the word `feedback` to display a feedback form.

The word will also be searched against your [Data Sources](/additional-resources/glossary#data-source). If a match is found, the results will be listed long with an option to display the feedback form.

#### /datafetch new source

Use the `/datafetch` slash command followed by the words `new source` to display a button allowing the user to immediately start adding a new [Data Source](/additional-resources/glossary#data-source).

The word will also be searched against your [Data Sources](/additional-resources/glossary#data-source). If a match is found, the results will be listed long with an option to start adding a new data source.

#### /datafetch insights

Use the `/datafetch` slash command followed by the word `insights` to display a button allowing the user view a list of all insights available in the data sources they are subscribed to.

The word will also be searched against your [Data Sources](/additional-resources/glossary#data-source). If a match is found, the results will be listed long with an option to view all insights.


# Search Results

When a search is successfully executed via DataFetch, the resulting Search Results are returned to you as an interactive message which only you can see. Each result represents an object found in a Data Source.

Each Object found in a Data Source will display the following data:

* Name
* Object Type

### Editing A Search

You can quickly filter your results to a specific Data Source by using the drop down menu within the results.

If you'd like more granular filtering of your results, you click click the `Edit Search` button to filter by Source Type, Object Type, Created Date, Updated Date, and more.

### Exporting Search Results

You can export the entire result set for your search by clicking  `...` > `Export List`. The results set can be downloaded in CSV or XLSX format.

Narrow your search to specific data sources and periods of time by including special search operators with your query.

# Source Permissions

## Overview

Source Permissions determine how are able to be accessed by users in a given workspace. Each data source will have one of three permission settings.

* [Private](#undefined)
* [Invite Only](#invite-only)
* [Workspace](#workspace)

### Private

A data source with its permission set to `Private` is only able to be accessed by the user that created it. Sharing settings are disabled for these data sources.

When a user first creates any data source, the permission setting is defaulted to `Private`.

If a data source has its permission setting changed to `Private` from some other setting which allows subscribers, any subscribers will be unsubscribed.

### Invite Only

A data source with its permission set to `Invite Only` is able to accessed by the data source owner and any subscriber.

Subscribers can only be added to data sources with with the `Invite Only` permission by the data source owner.

### Workspace

A data source with its permission set to `Workspace` is able to accessed by the data source owner and any subscriber.

Subscribers can be added by the data source owner, or can be subscribed to by any user from the Data Source Catalogue.


# Data Source Catalogue

## Overview

The Data Source Catalogue offers users the ability to see a list of Data Sources that have been made available for them to subscribe to.

## Accessing The Data Source Catalogue

From within the DataFetch web app, Data Source Catalogue will be an option on the nav menu to the left.

## Subscribing To A Data Source

Users can click on any data source listed in the catalogue to view a summary of the data available. The user may click the subscribe button, which will add the data source to the list of sources searched the next time they use DataFetch from their collaboration platform.

Authentication to Airtable requires your Airtable API key.

To get your API key, go to your Account Page:

## Creating a new Search Object

1. Click **Add** to create a new **Search**.&#x20;
2. Select an **Object**. You can either type the Object in the search box or select it from the dropdown menu. \

   For instance, we are going to create a new contact search. By selecting **Contacts** as the Object type, all searchable fields of the Contact object will be made available. <br>
3. By default, some fields (i.e. last name, first name, email) have been pre-selected. # Creating a Message Template

## Prerequisites

You have created a **Search** object.&#x20;

**Message Templates** allow you to configure the layout of your search results as they are displayed on Slack.&#x20;

Here's how you can create/modify your message template for your search object:

1. From the **DataFetch** web interface, select a search object.&#x20;
2. Go to the Message Template tab. This tab features the following sections:

   \
   The **Fields** section shows all searchable attributes in a specific HubSpot object. \
   The **Template** section allows you to create a message template using JSX. \
   The **Preview** pane shows what the search result will look like in Slack.
3. You can click and drag the fields into the **Templates** section and format the layout as you desire.\
   \
   As you create your template, you will see how your Slack search result will look in the **Preview** pane.
4. Click **Save**.&#x20;


# Configuring Search Object Options

## Prerequisites

You have created a HubSpot Search Object.&#x20;

## Search Object Options

You can configure the following options for an object:&#x20;

* Result Object Type Icon&#x20;
* Result Object Type Display Name.&#x20;
* Result Object Properties.&#x20;
* Result Record Name Template.&#x20;
* 'Open in HubSpot' button.&#x20;
* Pull Reference/Linked Objects &#x20;


# Adding a Result Object Type Icon

You can add an icon for every search object type that you create. This icon will be displayed in your Slack search result.

1. From the **DataFetch** web interface, select or create a new search object and go to the **Options** tab.
2. The system has added a default icon for HubSpot. Hover on the icon and click <img src="/files/VI8tg8gO3dtNEStUkuSy" alt="" data-size="line">to upload a new image.&#x20;
3. Locate the image file from your device or simply drag and drop the file to start the upload. You will see a preview of the image if the upload is successful.
4. Click **Save**.&#x20;

Here’s an example of a search result with the object type icon added.

# Editing the Result Record Name Template

This allows you to create a name template for the search result in Slack. \
\
For instance, when creating a Contact object, you might want to display the **Name** and the **Email Address** of the contact in your search result. This is helpful as it adds relevant information about the search result.

Here's how you can create/edit a result record name template:&#x20;

1. From the DataFetch web interface, select or create a new search object and go to the **Options** tab.
2. In the **Result Record Name Template** box, enter the tag of the data field that you want to include in the template. \
   \
   For instance, you want to display the name and email address of the contact. You can add the data field tags (i.e.  *{{\[Name]}}* ). You can also format the template as you desire, for example *{{\[Name]}} | {{\[Email]}}* .
3. Click **Save**.&#x20;

Here's an example of a search result applying the template *{{\[Name]}} | {{\[Email]}}* for the **Contact** object.

# Enabling the 'Open in HubSpot' button

1. From the **DataFetch** web interface, select or create a new search object.&#x20;
2. Go to the **Options** tab.
3. Tick the option to enable the button. The ‘Open in HubSpot’ button will be visible when you click the **View Details** in your search result. You can click this button to open the result record in your HubSpot app.
4. Click **Save**.&#x20;

The 'Open in HubSpot' button will appear when you view the details of the search result in Slack.

# Adding Result Object Properties

1. From the **DataFetch** web interface, select or create a new search object and go to the **Options** tab.&#x20;
2. Click **Add** Result Object Properties. Using Result Object Properties will allow us to provide more information about a search result. \
   \
   For example, we can add a phone number to the contact record in HubSpot and display this in the Slack search result.&#x20;
3. Enter a name for the Object Property. *Tip*: Use a name that will best describe the information.
4. *(Optional)* You can add an icon to represent the object property.
5. Add the data field tag. \
   \
   For example, let’s add the *{{\[ Phone ]}}* data field.
6. Click **Save**. *Note:* You can add multiple Result Object Properties.&#x20;

The added Result Object Property (phone number) will be displayed in the search result, as shown in the example below:

# Editing the Result Record Name Template

This allows you to create a name template for the search result in Slack. For instance, when creating a Contact object, you might want to display the **Name** and the **Email Address** of the contact in your search result. This is helpful as it provides you with relevant information about the search result.

Here's how you can create/edit a result record name template:&#x20;

1. From the DataFetch web interface, select or create a new search object and go to the **Options** tab.
2. In the **Result Record Name Template** box, enter the tag of the data field that you want to include in the template. For instance, you want to display the name and email address of the contact. You can add the data field tags (i.e.  *{{\[Name]}}* ). You can also format the template as you desire, for example *{{\[Name]}} | {{\[Email]}}* .
3. Click **Save**.&#x20;

Here's an example of a search result applying the template *{{\[Name]}} | {{\[Email]}}* for the **Contact** object:

# Enabling the 'Open in Salesforce' button

1. From the **DataFetch** web interface, select or create a new search object and go to the **Options** tab.
2. Tick the option to enable the button. The ‘Open in Salesforce’ button will be visible when you click the **View Details** in your search result. You can click this button to open the result record in your Salesforce app.
3. Click **Save**.&#x20;


# Adding Result Object Properties

1. From the **DataFetch** web interface, select or create a new search object and go to the **Options** tab. \
   \
   For instance, we are going to create an **Account** object and configure its results object properties.
2. Click **Add** Result Object Properties. Using Result Object Properties will allow us to provide more context about a search result. \
   \
   For example, we can add a description to an account record in Salesforce and display this in the Slack search result.
3. Enter a name for the Object Property. *Tip*: Use a name that will best describe the information.
4. *(Optional)* You can add an icon to represent the object property.
5. Add the data field tag. \
   \
   For example, let’s add the *{{\[ Description ]}}* data field.
6. Click **Save**. *Note:* You can add multiple Result Object Properties.&#x20;

## Authentication

Authentication to Splash is handled via OAuth 2.0 with a Password grant type. Users will require the following credentials:

* Splash User Name
* Splash Password
* Splash Org Client ID
* Splash Org Client Secret

Yes. We ensure all data is encrypted in transit with TLS 1.3, and encrypted at rest with SHA-256. All stored credentials are stored in a separate secure key manager and never in our database.

## How many API requests will this make to my systems?

### Object Type

A specific type of object within a given data source. For example, if a Data Source has a Data Source Type of `Adobe Marketo Engage`, then the Object Types available are `Lead` and `Program`.&#x20;

### Search ID

The unique identifier of a newly initiated search using the DataFetch app.

### Data Source

A specific source of data that has been made available for a DataFetch user to search. Each Data Sources has a specific Data Source Type.

### Data Source Type

An application, database, or other type of resource which can be connected to by DataFetch. Data Source Types each have their own credential requirements for being connected to as a Data Source, and have their own Object Types that can be searched and viewed.&#x20;

### Details View

A templated view of a specific result returned from a DataFetch search.

### Collaboration Platforms

Tools organizations use to chat and collaborate like Slack, Microsoft Teams, Google Chat, Discord, etc.

### Client Application

The application through which a user leverages DataFetch to search the various data sources they are subscribed to. Our apps for Slack and Microsoft Teams would be considered client applications.

### Data Source Owner

The user who created a given data source is the 'owner'. This user is the only one that can make changes or delete the data source.
